Drilling Operations Coordinator

POSITION SUMMARY
MAK Drilling is the geotechnical drilling division of MAK Construction and one of the fastest-growing parts of the company. From Grand Forks we run soil borings, rock coring and subsurface exploration for the engineering firms behind data centers, substations, transmission lines and highways across more than 14 states. We went from one rig to four in eighteen months, a fifth comes online this fall, and we have the work to keep adding. The office has not kept pace with the field. That is the job.
The Drilling Operations Coordinator runs the drilling back office so the drilling manager can run the drilling. You own the phone line and the bid inbox, get every bid out, know where every crew is and when they are due home, get invoices out and paid, keep our trucks and drivers legal in every state we work in, and take new hires from applicant to job site. You manage the drilling admin and report to the drilling manager every day.
You do not need drilling experience; we will teach you the drilling. What we cannot teach is hustle. This fits someone direct, organized and quick, who is comfortable calling a customer's accounts-payable desk and a driller in Wyoming in the same hour, learns fast, and does not need to be reminded.
WHAT YOU'LL DO
The work.
- Answer the drilling line and the bid inbox, route everything the same day, and send the drilling manager an end-of-day recap.
- Build bids from our template and price sheet, get pricing approval, and send them within two business days.
- Set up every awarded job: work order, boring plan, 811 locate ticket, crew packet, calendar and map. Keep customer W-9s, portals, purchase orders and certificates of insurance current.
- Keep the master rig and crew schedule and the crew rotation calendar, published weekly. Book lodging and travel, order parts and supplies, arrange equipment moves.
- Invoice within three business days of the field log closing, follow up at 30, 60 and 90 days, and tie out receivables weekly with our bookkeeping team.
- Review daily logs and roll up per diem, hours, footage and mileage for payroll.
- Keep driller and helper postings live, run first-pass screening calls, and run onboarding end to end: payroll, benefits, drug test, DOT file, devices and app access.
- Own DOT compliance: driver files, medical cards, drug and alcohol testing, inspections, IFTA, permits and registrations, plus a state-by-state checklist for every state we work in.
- Maintain the equipment register and maintenance tracker, keep the drilling SharePoint organized, and write down the processes as you build them.
- Manage the drilling admin with daily priorities and a weekly check-in.
WHAT YOU BRING
The experience.
- At least two to three years running an office or coordinating operations, ideally in a field business (construction, trucking, oilfield, agriculture or similar). This is not an entry-level seat.
- A go-getter who takes ownership and follows through without reminders.
- Comfortable on the phone with customers, field crews and engineers.
- Working knowledge of invoicing and receivables.
- Strong in Excel and Microsoft 365, and willing to use AI tools daily.
- Able to manage another person.
- Valid driver's license and able to pass a background check.
PREFERRED
- Drilling, environmental or heavy civil background.
- DOT and FMCSA compliance experience.
- QuickBooks and customer portal experience (Coupa, Oracle).
- Grand Forks area.
COMPENSATION & BENEFITS
Competitive salary based on experience, with quarterly bonus potential tied to a weekly scorecard. Health insurance after 60 days with 85 percent of the employee premium covered, a company-paid $50,000 life insurance policy, supplemental dental, vision, disability and accident plans, a 401(k) after 90 days with up to a 4 percent match, paid time off, five paid holidays, and weekly pay.
